- Are you adding the external user as a guest member in the Team, or are you sharing a direct file link from the Files tab?
- Is the file located in a standard channel, private channel, or shared channel?
(Note: Files in private or shared channels have different permission models.) - What is the full error message the external user sees?
If possible, please provide the exact text or a screenshot—this will help us determine whether it’s a policy, permission, or technical issue. - Has this external user (or their email domain) successfully accessed files from your Teams or SharePoint environment before?
- If no, it could be a first-time setup or policy restriction.
- If yes, something may have changed recently in your org’s sharing settings.
- Has the external user accepted the invitation and logged in using the same email address the file was shared with?
- Are there any expiration dates, passwords, or domain restrictions set on the sharing link?
