1. Using the 'Sort by' Feature (For a Quick View Change)
This is the fastest way to temporarily rearrange your employee list based on available criteria.
- Open Microsoft Teams and navigate to the Shifts app within your team.
- Look for the "Sort by" button or a filter icon. It's usually located at the top left of your schedule, just above the list of names.
- Click "Sort by" to open a dropdown menu.
- Select your preferred sorting option, such as Name (for alphabetical order) or Scheduled hours. The list will reorder instantly.
2. Organizing with 'Groups'
This is the best way to create a permanent, logical layout for your team based on roles or responsibilities.
- In the main schedule view, scroll to the bottom of your current employee list and click "+ Add group".
- A new line will appear. Type the name for your first group (e.g., "Supervisors," "Front Desk," "Sales Associates") and press Enter.
- Repeat this step to create all the groups you need for your team.
- Hover your mouse over the name of an employee you want to move.
- Click the three-dots icon (...) that appears on the right side of their name to open a menu.
- From the menu, select "Move to group".
- A list of the groups you created will appear. Choose the correct group for that employee.
- Repeat these steps for all employees until your team is fully organized into their respective groups.
