In Microsoft Lists how do I move one item (entire row) to another list.

I'm using Microsoft Lists in Sharepoint to track the status and completion of tasks. My list has a few basic columns (8) and the tasks are often daily tasks that are completed quickly.

Once a task's "Status" is marked as "Done" I would like for that item to be able to be moved/archived to a separate Microsoft List. I would like to do this for record keeping and so the list doesn't get too long / full of completed (now irrelevant) tasks.

I'm happy for a solution to be as simple as copying an entire row/item and pasting it to a separate "Archive" list, then deleting it from the original one. I've searched the internet for a solution on how to do this to no avail.

Options I already tried:

  1. Power Automate: unfortunately my organization does not allow for power automate to be integrated with the Microsoft Lists product.
  2. I have duplicated the list, its formatting, all columns into the Archived list and have tried copying and pasting. I seem to be able to highlight a row and click CTRL+C, but when I go to the other list I'm unable to paste it.

    I understand you're using Microsoft Lists in SharePoint to manage daily tasks and would like to move completed items those marked as “Done” to a separate archive list for record keeping and to keep your main list clean and focused. 

    Based on your description, you've already made to duplicate the list structure and explore Power Automate. Since Power Automate isn’t available in your environment, here's a few alternative steps that may suit your situation. 

    1. You can manual copy using Grid View 

    This method allows you to manually move items between lists without automation: 

    • Open your source list (the one with active tasks). 
    • Click on “Edit in grid view” at the top right of the list. 
    • Locate the row you want to move and manually copy each field’s value (you can use your mouse or keyboard shortcuts to copy individual cells). 
    • Open your Archive list and also switch to grid view. 
    • Paste the values into a new row in the archive list. 
    • Once the item is successfully added to the archive list, you can delete it from the original list. 

    Therefore, this method works best for a small number of items and doesn’t require any special permissions or tools. 

    1. You can try to request Admin Access to Power Automate (if possible) 

    If your organization allows, enabling Power Automate would make this process seamless: 

    • You can create a flow that automatically moves items to the archive list when their status is set to “Done.” 
    • The flow can also delete the original item after copying it.

    For more information that you can concern: 

    • Ensure both lists have matching columns and data types to avoid issues during manual entry. 
    • You’ll need edit permissions on both lists to perform these actions. 
    • Unfortunately, Microsoft Lists does not currently support copying entire rows between lists using CTRL+C/CTRL+V.
