Microsoft Teams - Meeting Templates

I have been looking to create some Microsoft Teams templates for use in Microsoft Meetings / Events, however I am unable to see these whatsoever despite general web searches and co-pilot advice that the steps I am doing are correct.

Below is the scenario:

  • I have a Microsoft Teams Premium Licence
  • I am on the latest MSIX Microsoft Teams Client using New Calendar Experience
  • In the teams admin portal, i have created a Meeting Template with a few settings changed, one setting I have marked as 'Locked'
  • I have created a teams Meeting Template Policy, ensured that my custom meeting template is visible along with the 3 default Microsoft ones.
  • I have assigned this custom Policy to myself considering i have a Teams Premium licence
  • I have waited 24 hours plus, restarted my teams client and cleared the teams cache

When clicking on the drop down beside new event, i do not see my custom templates

When clicking on new event i do not see any template picker in the meeting setup window

According to Microsoft, those with a Microsoft premium licence, should also be able to create personal templates, i see no such option

I am the Teams Administrator for the organisation

Can anyone advise what is happening and why my templates are not pulling through or have come across this issue before.

Many Thanks

Barrie

    Hi @Barrie Anderson

Good day to you! Welcome to Microsoft Q&A forum.

Thank you for reaching out regarding the issue with Microsoft Teams meeting templates. I understand that despite having a Teams Premium license and following the correct setup steps, your custom and personal meeting templates are not appearing in the Teams calendar and I truly appreciate the detailed overview of your setup and the steps you've taken.

Under normal conditions, Teams Premium users should see a drop-down next to “New Event” in the calendar showing:

    • Default templates (Webinar, Town hall, Virtual appointment).
    • Custom templates made available via policy.
    • A “Create template” option for personal templates.

If none of these are visible, here're the most common causes:

    1. License or Service Issues
If it’s been more than 24 hours, the license may not be recognized properly especially if it was a trial that expired or wasn’t fully provisioned. In such cases, Premium features (including personal templates) won’t show.
    2. Policy Configuration Issues
While your custom policy appears correctly configured, it’s worth double-checking:
      • That the policy is assigned to your user account.
      • That the templates are marked as “Visible.”
      • That the global policy hasn’t overridden your custom one due to propagation delays.
    3. Client Cache or Glitch
You’ve already restarted Teams and cleared the cache, which is great. However, occasional glitches especially in early releases can cause inconsistent behavior across devices.

    Please try the following steps:

Let’s address each potential cause systematically:

    1. Verify Your Teams Premium License Status
      • Confirm your account has an active Teams Premium license.
      • If you were using a trial, check that it hasn’t expired.
      • If needed, unassign and reassign the license via Microsoft 365 Admin Center to refresh provisioning.
    2. Run the Teams Premium Diagnostic
      • Use Microsoft’s Remote Connectivity Analyzer:
      • Go to the Teams Premium Details test.
      • Sign in with your affected account.
      • Run the test to check license validity and service enablement.
      • If any failures or warnings appear, they’ll guide the next steps (e.g., backend service toggles). Can't Access Teams Premium Features - Microsoft Teams | Microsoft Learn
    3. Contact Microsoft Support if Needed
      • If the issue still doesn’t appear despite trying all available options, I believe it would be best to escalate this to a higher-level support team. A Microsoft technical support agent has access to advanced diagnostic tools and deeper system-level insights that can help resolve the issue more effectively.
      • You can open a support request through the Microsoft 365 Admin Center

    • Then please describe your issue briefly. Our specialized support team will assist you step by step and ensure you get the most appropriate solution for your needs.

I genuinely wish I could assist you further, but as a moderator, I don’t have access to the necessary tools or permissions to dig deeper into this issue. That said, I’ll be here if you need help preparing information for the support team or have any other questions. I'll assist you however I can.

    Wishing you a great day.

    Hi Chris,

Many thanks for your reply and detailed steps, i can confirm all the steps are set correctly and the Microsoft Connectivity tested passed confirming i have a Teams Premium licence. We have had the licence itself for over 12 months fully purchased and not a trial, just recently i re-assigned it to me to test the template functionality.

Im unsure how to check if the global policy hasnt overridden my custom one, but as a separarte test i made the same changes in the global policy but these too did not reflect.

Below / attached is what i see in the dropdown ext to 'New Event'

I hope this helps, i will also raise with Microsoft Support as per your suggestion as i too have ran out of ideas

    Thanks again

    Barrie
