How can I set up my Team so that it always sends out an email to the group when I post something?

I'd like to send out an email to the members of an MS Team every time I post something new to that team. Is this possible?

    To automatically send an email to all members of a Microsoft Team whenever you post something, there isn’t a built-in feature in Microsoft Teams that does this by default. However, there are a few workarounds you can try:

    1. Use Power Automate.

    You can create a Power Automate flow that sends an email to the team whenever a new message is posted in a channel.

    • Go to Power Automate.
    • Create a new automated cloud flow.
    • Use the trigger: “When a new message is added to a chat or channel.”
    • Add an action: “Send an email (V2)” via Outlook.
    • Configure the email to go to your team members or a distribution list.

    This method gives you full control over the email content and recipients.

    2. Tag everyone in a post

    If your goal is just to make sure everyone sees your post, you can:

    • Use @Team or @Channel mentions.
    • Ensure members have channel notifications turned on.

    This won’t send an email, but it will trigger a Teams notification, and users can choose to receive email digests if they miss activity.

    3. Use a connected channel email

    Each channel in Teams has its own email address. You can:

    • Go to the channel where you post.
    • Click the three dots (…) next to the channel name.
    • Select “Get email address.”
    • Share this email with your team members and ask them to set up a rule in Outlook to forward or notify them when something is posted via that email.

    This only works if you're posting via email or if others are using the channel's email address to send messages.

    “Posting via email” means sending an email to a channel’s unique email address, which then appears as a post within that channel.

    Each Teams channel has a special email address. When someone sends an email to that address:

    • The email content appears as a new post in the channel.
    • Team members can reply to the post just like any other message.

    It’s important to note that:

    • This only works if the channel email feature is enabled by your Teams admin.
    • Some organizations restrict who can send emails to a channel (e.g., only internal users).
    • You can't use this method to post directly from within Teams - it’s specifically for external email-to-channel posting.
