You can create a Power Automate flow that sends an email to the team whenever a new message is posted in a channel.
- Go to Power Automate.
- Create a new automated cloud flow.
- Use the trigger: “When a new message is added to a chat or channel.”
- Add an action: “Send an email (V2)” via Outlook.
- Configure the email to go to your team members or a distribution list.
This method gives you full control over the email content and recipients.
2. Tag everyone in a post
If your goal is just to make sure everyone sees your post, you can:
- Use @Team or @Channel mentions.
- Ensure members have channel notifications turned on.
This won’t send an email, but it will trigger a Teams notification, and users can choose to receive email digests if they miss activity.
3. Use a connected channel email
Each channel in Teams has its own email address. You can:
- Go to the channel where you post.
- Click the three dots (…) next to the channel name.
- Select “Get email address.”
- Share this email with your team members and ask them to set up a rule in Outlook to forward or notify them when something is posted via that email.
This only works if you're posting via email or if others are using the channel's email address to send messages.
