    Hi Team,

For the past two years, I was under the impression that I was using the Local version (classic) of our software, but it turns out I was actually using the web version. I recall encountering this problem about ten years ago when it came to setting rules, and I had hoped that the situation would have changed by now. Unfortunately, it's still the case that rules cannot be set on the web version—they only run locally.

I may have downloaded everything when I transitioned to Windows 365, but it was on a different PC at the time. Now, with all components of Windows 365 downloaded and in place, everything is running smoothly and the rules work.

Thank you for your understanding and support.

    Dear Surinder Sandhu

Thank you for reaching out to the Microsoft Q&A Community. I understand you created a rule to CC yourself on outgoing mail, but it is not working.

Why the Rule Does Not Work

    • Limitation in New Outlook and Outlook on the Web

The new Outlook for Windows and Outlook on the Web only allow rules for incoming messages. They do not support rules that apply to outgoing mail, such as automatically CC’ing yourself. This is why your rule does not run in these versions.

    • Options in Classic Outlook and Exchange Admin Center

The ability to create rules for outgoing messages still exists in Classic Outlook for Windows. Additionally, administrators can enforce this behavior across all clients by creating a mail flow rule in the Exchange Admin Center.

Please kindly follow these steps below to see if it might work

Option 1: Use Classic Outlook and Create a Rule

    • Switch back to Classic Outlook (toggle off “New Outlook” in the top-right corner).
    • Go to File > Manage Rules & Alerts > New Rule
    • Under Start from a blank rule, select Apply rule on messages I send
    • Click Next twice to apply to all sent messages, then confirm.
    • Under Select action(s), check Cc the message to people or public group
    • Click the link in Step 2, select your email address, and click OK
    • Name the rule, ensure Turn on this rule is checked, and click Finish

Please refer to this official guide for further guidance : https://support.microsoft.com/en-us/office/manage-email-messages-by-using-rules-c24f5dea-9465-4df4-ad17-a50704d66c59

Important: This is a client-side rule. It only works when Outlook is running on the computer where the rule was created.

Option 2: You can use Exchange Admin Center (Admin Required)

    • In Exchange Admin Center, go to Mail flow > Rules
    • Create a new rule:
    • Apply this rule if: The sender is [your name]
    • Do the following: Add Cc recipient [your email address]
    • Save and enable the rule.

Please refer to this official guide for further guidance : https://learn.microsoft.com/en-us/exchange/security-and-compliance/mail-flow-rules/mail-flow-rules

This option works across all clients and devices because it runs server-side.

Option 3: If You Must Stay on New Outlook

Currently, there is no built-in way to auto-CC yourself in the new Outlook. Please try these alternatives:

    Troubleshooting Tips

Ensure the rule is enabled and at the top of the list in Manage Rules & Alerts

If the rule still fails, recreate it to avoid corruption.

I hope this explanation and the provided steps help you. If you require additional guidance, feel free to reply to this thread, and I’ll be happy to assist you.
